What are LARP photos for?
LARP photos fulfill several purposes. First, they document the event itself, showing how the larp looked and proceeded. The second most crucial purpose is promoting the specific game and the LARP. Because both the people organizing the events and the photographers put a lot of heart and effort into them, we ask that these people be appropriately tagged on the internet. When publishing photos, we include details.
What are marketing purposes?
Every publication of photos combined with the company name meets the legal definition of "marketing purpose." It does not matter whether we do it from the official LarpVenture profile or other people playing on their social media. That is why we need your consent to publish photos including on social media and our website, and to be shared with other participants. We later use the photos to promote subsequent editions of the events and advertise our activities.
The photos taken as part of this event may be used, among other things, for advertisements, leaflets, or media materials. The full scope of use is described in the event regulations. Importantly, these photographs will always appear in a larp-related context. Images featuring you may be used to promote larping or LarpVenture, but they will never be used to advertise unrelated products or services, such as toothpaste or a local dentist’s practice.
One of our goals is to promote larping, which is why journalists or reporters may occasionally be present at our events. Their materials are also subject to the approval process described below, and as LarpVenture we make an effort to ensure that larping is presented in the media in a factual and positive way.
Lack of consent to use your image for marketing purposes means that we will not take photos of you at the event. You may still appear in some photographs, but only in an unrecognizable form, for example blurred or masked.
If I give my consent, do I still have an influence on what will be published?
Before publishing photos from the larp, we provide preview versions (in lower quality, with a watermark applied over the entire surface) for the participants to see. At this stage, you can review the photos and decide not to publish any of them. You send us information with the number of such a photo, and we delete it without any questions from all disks - ours and the photographers. None of the participants will receive it in full quality - neither you nor the other people in the photo. Only after this process will we make the folder with photos available for download and use for private use.
What if I change my mind after some time?
If the photo has been deleted, it cannot be recovered. Conversely - you can withdraw your consent to publication at any time. The decision will apply from the moment of reporting. This means that we will remove the photos you indicate from our archives and will no longer use them from that point on. However, we have no control over other people who participated in the event and were given access to the photos.
Does giving consent guarantee that I will have photos from the event?
Our photographers ensure that as many people as possible have a memento of the game in the form of a photo. However, neither they nor we can guarantee that every person will find their portrait among the pictures from the game - especially if the larp is large. If part of the game is a photo booth or a portrait session, we encourage you to use it.
